We had the privilege of partnering with the U.S. Biochar Initiative for end-to-end communications and design of the 2025 conference. Together, we created a visual identity and a multi-faceted campaign that blended engaging content across various platforms.

Our team designed and executed a fully integrated communications strategy that carried the conference from vision to launch, in collaboration with USBI team and content experts. We built an editorial calendar to guide every touchpoint: attendee communications, organic and paid social media, email campaigns, thought leadership content, and ongoing community engagement. We equipped speakers with tailored toolkits to amplify their voices, developed cohesive print and digital assets to reinforce the event's brand at each interaction, and supported earned media opportunities to broaden visibility and credibility. From big-picture timelines to day-to-day content production, Heartseed made sure that each channel and campaign asset worked together. Creating a communications ecosystem is one of our favorite things! 

Our earned media and press outreach initiatives strengthened the organization's brand trust overall through industry-specific materials, exclusive partnerships, and coordination with aligned media outlets. These efforts included:
  • Created targeted media lists across climate tech, agriculture, and carbon removal
  • Built targeted pitches and reporter outreach timelines
  • Coordinated exclusive press partnerships to expand visibility
  • Engaged with attending media before, during, and after the event
  • Established an easy-to-use press outreach database that USBI can leverage for future events

To bring the communications strategy to life, we wrote and edited promotional content for the conference; crafting email campaigns, social media posts, sponsor features, speaker announcements, and more to ensure clear, compelling communication across every channel.

Heartseed developed the conference’s full brand identity (designing the logo, sublogos, and visual system) and executed it across print and digital deliverables, including slide decks, graphics, sponsorship packets, posters, and more.

In addition to a pre-registration interest list, we designed a 10-email segmented campaign to promote the conference, as well as a 3-email series for attendees after the event concluded.

More than 1,800 photos were taken at the conference by the Heartseed team — providing key day-of content as well as material for future event marketing.

The campaign received over 20,000 engagements on social media, plus more than 2,000 clicks across 10 promotional emails.

Promotions for the event achieved more than 1.5 million impressions across social and earned media, with paid and organic posts, expanding both event and organization brand visibility.
